Job Description
Job Title: Director of Operations
Location: Las Vegas, Nevada
Travel: Light Travel, 2-5 times per year
Position: Fully Time, Salaried Employee
Hours: 8:00AM – 5:00PM, M-F and as Needed
Pay Schedule: Every Other Week + Quarterly Bonus Based on Key Performance Indicators. See Below for Additional information.
Role: Manage a team of over 20 Agents and Staff from an Operational Standpoint. Support the Vision and Mission Statements of the Company, along with its Core Values, by continually improving and implementing systems, policies and procedures. Initiate and deliver projects and reports, maintain client database, initiate initial and ongoing training procedures for new hires to create increasing production and profitability to the Brokerage.
Job Responsibilities and Key Performance Indicators (KPIs):
Human Resources
· Assist in Hiring of New Staff
· Drive Agent Recruitment
· Controlling Turnover %
· Onboarding New Agents and Staff
· Create and maintain Policies and Procedures Manuals for Agents and for Staff
Strategy
· Assist in Development of Annual Strategic Plan
· Quarterly Progress Meetings with Agents and Staff
· Plan Annual Agent Events (1-3 per year)
Operating Systems
· Create and Maintain Standard Operating Procedures (SOPs) and update as necessary
· Standardize Tech Stack used by Brokerage for Onboarding and FAQs
· CRM – create daily utilization standards and measure performance of usage
· Website (ZahlerProperties.com / SearchVegasAreaHouses.com) – Structure and Update
Marketing
· Manage and Measure Daily Leads Generated
· Manage and Measure Weekly Appointments Generated
· Oversee Social Media Activity and Engagement
· Write and Mail Notecards / Letters to Clients
Sales
· Track and Measure Conversion Rates for Agents
· Track and Measure Customer Satisfaction through Social Media Reviews and Surveys
Compliance
· Audit and Review Sales Process System before Final Pay is made to Agents
· Track and Maintain incoming and outgoing Referrals
· Process and Track Agent and Vendor 1099’s
General Office Management
· Answer Calls and Schedule Meetings
· Manage Calendars
· Keep Supplies property filled
· Maintain an orderliness to Office Filing Systems and general presentation of office
Non-Compete Clause:
Should Director of Operations decide to become a Licensed Real Estate Agent or take a position with another Real Estate Company, the Director of Operations will not make any contact with any clients or customers (leads) of Zahler Properties within the first 24 months from termination or separation. The database is the property of Zahler Properties, and Geoffrey and Sydney Zahler, and unless fee is negotiated to purchase such database, it will remain the property of said individuals.
Trade Secrets:
The parties acknowledge and agree that during the term of this Agreement and in the course of the performance of his/her duties hereunder, Director of Operations will have access to and become acquainted with certain confidential and proprietary information concerning the operations of Employer, including without limitation customer pricing, acquisition status, strategic planning, proprietary software and other information that is owned by Employer, treated confidentially and regularly used in the operation of Employer’s business, but excluding information which was known to Director of Operations prior to his/her employment, is or becomes generally known to the public other than through disclosure by Director of Operations or is required to be disclosed by law. This information constitutes Employers Trade Secrets.
Director of Operations agrees that he/she shall not disclose any such Trade Secrets directly or indirectly, to any other person or use them in any way either during the term of this agreement or at any other time thereafter, except as is appropriate in the course of hi/her employment with employer.
Director of Operations further agrees that subject to the other provision of this Agreement, all files, records, documents, equipment and similar items relating to Employers business, whether prepared by Director of Operations or other, are and shall remain exclusively the property of Employer and that except as required in the conduct of business they shall be removed from the premises of Employer only with the express written prior consent of Geoffrey and/or Sydney Zahler.
Compensation:
Compensation will be in the form of a Base Salary, paid 26 times per year, and Quarterly Bonus. The Quarterly Bonus will be paid out in accordance with overall company performance, including hitting thresholds for Key Performance Indicators. Additional Bonus structure will be based on recruiting of Licensed Real Estate Agents and will be subject to said Agents performance. Specific KPI’s and Agent Recruitment Bonus will be discussed and formally agreed upon, in writing, upon an offer of employment.
